Nearly 70% of Indian businesses struggle with manual invoice processing
By FynHelp Editorial Team, Month-end close for CA firms
Most Indian firms still handle invoices by hand, adding cost, rework and compliance risk to everyday finance work. What a new study found, what it does not say, and what CA firms can do about it at month-end.
Short answerAn analysis of more than 2,400 product demonstrations by AI Accountant, run from January to July 2026, found that 69.6% of Indian businesses named bill and accounts payable processing as their biggest accounting pain point. Bank and credit card reconciliation came a distant second at 14%. Invoices still arrive as PDFs and photos, get keyed in by hand and are matched to payments one by one. For CA firms, that manual work shows up as late documents, re-work and GST input tax credit risk at every month-end.
Indian businesses have gone digital in many ways: UPI for payments, GST returns online, e-invoices for larger companies. Yet when it comes to the bills a business receives and pays, a large share of the work is still done by hand. A study published this year puts a number on it.
What the study found
AI Accountant, an Indian accounting software company, looked at what businesses said during more than 2,400 product demonstrations between January and July 2026. Asked about their main accounting problem:
| Main accounting pain point | Share of businesses |
|---|---|
| Bills and accounts payable processing | 69.6% |
| Bank and credit card reconciliation | 14% |
The study describes finance teams that still spend hours collecting invoices, entering transaction details, matching bills with payments and reconciling accounts. In other words, the slow part is not filing a return. It is everything that has to happen before the numbers are ready to file.
What the number does and does not say
Read the figure for what it is. It is the share of businesses that named invoice and payables work as their biggest pain point. It is not a count of how many businesses process invoices manually. The sample is also businesses that sat through a software demo, so it leans towards firms already looking for help. Even with those limits, a result this lopsided (seven in ten, against one in seven for the next problem) is a clear signal of where the time goes.
Why manual invoice handling costs more than it looks
- Re-keying. A supplier's PDF arrives on email or WhatsApp, someone types it into Tally, and someone else checks it. Every invoice is handled two or three times.
- Rework. A wrong GSTIN, a transposed amount or a duplicate entry is usually found weeks later, at reconciliation, when it is slowest to fix.
- Input tax credit at risk. Purchase bills that are missing, late or entered wrongly do not line up with GSTR-2B. Credit that does not reconcile is credit the business may not be able to claim.
- Payments that cannot be explained. When bills are not recorded in time, the bank statement shows payments with nothing to match them to, and month-end turns into detective work.
- Chasing. Someone has to ask for the missing invoices, follow up, and follow up again.
What this means for CA firms
Most of this lands on the CA firm at month-end. Clients send statements and bills late, in every format, across email and WhatsApp. Juniors spend the first days of the month collecting and typing, and the actual review (the part clients pay for) gets squeezed into the last few days. A firm closing 40 clients a month feels each manual invoice forty times over.
Five practical fixes
- One intake address per firm. Ask clients to send bills and statements to a single inbox, or a single WhatsApp number, rather than to whichever staff member they know.
- Stop typing what can be read. Bank statements, Tally exports, purchase registers and GST registers can be read by software line by line. Keep people for the lines that are genuinely unclear.
- Match against the bank, not against memory. Reconcile every payment against a recorded bill each month. Unmatched payments are where missing invoices show up.
- Chase on a schedule. Missing documents should be requested on fixed days, automatically, and the chase should close the moment the document arrives.
- Keep a trail. Every correction and every judgement call should be recorded with who made it and why, so a review months later does not start from zero.
Where FynHelp fits
FynHelp is month-end close software for CA firms. It does not pay your clients' bills; it takes the manual work out of closing their books:
- Documents come in on their own from the firm's Gmail and WhatsApp Business number, filed under the right client by sender.
- Extract reads bank statements, Tally and Zoho Books exports, purchase and GST registers, line by line. Unclear lines wait for a person, with the reason shown.
- Recon matches bank against books (exact, then close matches, then your firm's rules) and shows only the exceptions.
- The Chaser asks clients for missing invoices by email or WhatsApp and stops the moment the document arrives.
- The MIS is built only from matched lines, and every figure opens the transactions behind it.

Frequently asked questions
Does "nearly 70%" mean 70% of Indian businesses process invoices manually?
Not exactly. It means 69.6% of the businesses in the study named bills and accounts payable as their biggest accounting pain point. The study points to manual collection, data entry and matching as the reason, but it did not measure how many businesses process invoices entirely by hand.
Is e-invoicing not solving this already?
E-invoicing under GST covers B2B invoices issued by businesses above the turnover threshold, and it standardises the invoice itself. It does not collect bills from suppliers, match them to bank payments or close the books. That part is still largely manual, which is the gap the study describes. We look at it in more detail in Indian businesses still rely on manual invoicing despite digital adoption.
What is the quickest win for a CA firm?
Reconcile the bank against the books every month for every client, not only at year-end. Unmatched payments point straight at the bills that are missing or wrong, while there is still time to fix them.
